Responsible Person Details: Label and Listing Rules

You've already established your Responsible Person (RP) — it turns out it's you, as the importer based in Poland.
You've already established your Responsible Person (RP) — it turns out it's you, as the importer based in Poland. Technical documentation is ready, risk assessment is done. You list the product on Allegro and after two days the listing gets suspended with the message: "Responsible Person details missing from the listing content." Puzzled, you check the product — you have the details in the documentation, but they're nowhere to be seen on the label or in the listing description. This is a very common GPSR (EU) 2023/988 trap: simply having an RP isn't enough — their details must be visible to the consumer. This article shows where and how to provide them.
Why RP details must be visible
The whole point of the Responsible Person is that the consumer and the market surveillance authority know who to turn to regarding product safety. An RP hidden away in a folder doesn't serve that purpose. That's why GPSR requires the Responsible Person's details to be given on the product or its packaging, and for online sales — also in the listing. This is the practical extension of the RP role, which we describe in our article on the Responsible Person — when it's required.
What details need to be provided
The minimum set of Responsible Person details includes:
- Name — the company name or the full name of the Responsible Person.
- Postal address — a registered address in the EU.
- Contact details — at least one means of contact (e.g. an email address).
These details should be consistent with the documentation and with the product's identification markings. Consistency matters — a mismatched address on the label versus the listing raises doubts with the authority.
Where to place the details — three locations
RP details appear in several places, each serving a different function:
| Location | Role |
|---|---|
| On the product | A permanent marking, available throughout the product's life cycle |
| On the packaging | When there's no room on the product; visible at the point of purchase |
| In the online listing (Allegro, shop) | The consumer sees the details before buying |
If the product is too small to print the details on, they're placed on the packaging or in an accompanying document — similar to the approach for product traceability.
RP details in an Allegro listing
For online sales, GPSR requires certain safety information to be visible in the listing before purchase. This includes the Responsible Person's details and warnings. In practice, this means providing the RP's name and contact details in the listing description (or in dedicated GPSR fields on Allegro). Platforms are now building separate sections for this information — it's worth filling them in, rather than relying on documentation staying "in the background".
RP details versus instructions and warnings
The Responsible Person's details naturally tie in with instructions and warnings. The instructions are a good place to bring together in one spot: the manufacturer's, importer's, and Responsible Person's details, plus a safety contact. A consumer who finds a problem then knows exactly where to report it.
Common mistakes when providing RP details
Sellers most often make the following mistakes:
- Details only in the documentation — missing from the product and the listing.
- Incomplete details — just a name with no address or contact.
- Inconsistencies — a different address on the label than in the listing.
- Missing updates — old details after a change of company or address.
- Skipping the GPSR fields on the marketplace — details entered only in the description, not in the dedicated section.
Any of these can end with a suspended listing or a note from the surveillance authority.
Durability of markings and archiving
The marking on the product should be durable — it shouldn't disappear after the first rub. It's worth keeping photos of the label with RP details in your documentation as proof that the marking was applied. You keep all of this for 10 years, which we cover in our article on document archiving. That way, if there's an inspection, you can prove not just that the RP exists, but that their details actually reached the consumer.
Frequently asked questions
Is it enough to provide RP details only in the listing description?
No. The Responsible Person's details must be provided on the product or packaging, and for online sales, also in the listing. A listing alone, without a marking on the product, doesn't meet the requirement.
What RP contact details are required?
At least a name, a postal address in the EU, and one means of contact, e.g. an email address. The consumer must have a genuine way to contact the Responsible Person.
What if the product is too small for a label with the details?
Then the details are placed on the packaging or in an accompanying document. What matters is that the information reaches the consumer and is available to the surveillance authority.
Is the RP field in an Allegro listing a separate field?
Marketplaces build dedicated sections for GPSR information, including Responsible Person details and warnings. It's worth filling in these fields rather than just writing the details in the description — missing details in the required section is a common reason for listing suspension.
Make sure RP details are visible where they need to be
Under GPSR, the Responsible Person's details must be on the product or packaging and in the online listing — simply having an RP isn't enough. GPSRReady templates include label templates with RP details and a checklist of listing information, compliant with Regulation (EU) 2023/988. Instead of a suspended listing, you'll have a product marked the way the law and the marketplace require.
